St. Mark's Council Minutes - September 16, 2009

Present:  Pastor Todd, June Johnsen, MaryAnne Jordan, Justin Devine, Stu Reid, Les Johnsen, Blair Aas

 Mary Anne opened the meeting with prayer at 5:33 pm.

 Motion to approve August minutes by MaryAnne, MSC by Stu.


 Community Liaison Report—reported by June

Pat reported that there have been no comments yet regarding the change in the pantry schedule.

 

Youth Report—Justin

  • Mailer with youth calendar magnet will arrive in homes this week.  Council recommended putting the packet in the preschool cubbies.
  • Sunday School Program

Ø 9:45-10:00 Opening

Ø 10:00           Break up into grade levels:  Rob goes to classes for

“song of the day”, craft project, game/exercise

Ø 10:45-11:00 Group Activity for K-5

October 4th is Youth Sunday.  Each grade level will sing at 2nd service.  Justin will present the sermon.  The preschool will be celebrated at a future service.

  • Family Night

Ø Biggest concern is getting people to come.  Erin will send out evites.  Temple Talk presentation on prior Sunday—possibly a younger and older person presenting together?  Families with children are being targeted but all are invited.

Ø Bev Duncan and MaryAnne are working on template for menus.  Hospitality Committee will organize food.

 

Resources Committee Report—Les

· Janitor/Landscaper Position

Ø Diane Metz is working on a job description.

Ø Estimated cost is $15 per hour for 28 hours per week.  Discussion regarding number of hours per week needed to do job—should be 40 hours per week (which would include benefits). 

Ø Supplies such as lawnmower and hedge trimmer is already a budget line item.

· Youth Room

Ø Need crew to paint.  Bob Andersen to organize.

Ø Carpeting to be installed next.  Need one more cabinet.

Ø Cost has been covered except for carpet and paint.

  • New Office/Bethel Room

Ø Justin and Rob Williamson will move into the Bethel Room once the old choir room is ready for Bethel classes.

Ø Estimated cost for new Bethel Room:

--Bid for ceiling  $1580 with blow-in insulation

--Windows  $632

--Total estimated cost approximately $4500 with carpet, paint,

and lights.

  • Bathroom Remodel

Ø Only needs paint

Ø Bill has been paid except for ceilings.

 Pastor’s Report

  • Best year so far . . . healthy longevity is good!  Looking forward to the next ten years.
  • Pastoral Support Committee

Ø Members: Diane Metz—chair, Jim Hanser, Etta Sivertsen, Chuck Huston

Ø First task is to develop a sabbatical proposal for review at next council meeting. Three month sabbatical to start June 2010.

  • Staff Support Committee job description to be developed.
  • Bishop will be here on Sunday to preach and provide forum on benevolence giving. 
  • Pastor will attend Professional Development seminar in Asilomar Sept 22-24.

 

Stewardship Committee—Stu

  • Stewardship Campaign starts October 11th and will continue for 4 weeks. 

 

Worship and Music Committee—Stu

  • Concert on the Corner—First one was rained out. Discussion regarding changing time from 9:00 am to possibly in the afternoon.  May move concert inside during inclement weather.
  • Worship Training planned for October 24th at 9:30 am. 
  • Choir needs more singers.
  • Bell Choir starts September 17th.

 

Personnel Committee—Diane Metz

  • Committee reports are in progress.
  • Backround Check Program

Ø Erin will manage this once she is cleared.

Ø Will ask each participant for a $10 donation.

Ø Need a clear policy regarding who needs to be included.  June will discuss with Diane.

 

Financial Report—MaryAnne  (see attached)

  • A breakdown of expenses has been distributed to committees.
  • We had a negative balance in our checking account at the end of August which was reconciled with last Sunday’s offering.  There is a concern regarding providing reimbursements before cash comes in.  In the future, there can be no reimbursement for unbudgeted items until we have the cash in hand.  MaryAnne will talk to Lew Broschard about monitoring this.
  • Youth Room Expense—cost increased after energy audit and wiring problem discovered.  Need clarification on payment—One-half from Building Fund and ½ from Youth Account?
  • Alarm System

Ø June will call BCS regarding recent alarm calls.

Ø MaryAnne will put notice in bulletin to not try to enter the church building before 8:00 on Sundays, 9:00 on weekdays.

Ø BCS should be called if alarm accidently set off to avoid PD response. 

  • Budget Committee Meeting on October 3rd.  Need ministry requests for 2010 Budget.

 

Old Business

  • Festival of the Classics was attended by 100-150 people.
  • Talent Show sign-up sheet has been posted.
  • Pastor wants a new phone to access email more readily.  June will arrange for training on use of upgraded phone.  Pastor will get information regarding the cost including the plan. 

 

New Business

  • We need a plan for building maintenance.  Suggestions include:

Ø A capital campaign drive—Budget Committee to discuss with Stewardship Committee

Ø Loan or line of credit

Ø Tie youth fundraising events to stewardship needs.

  • Current maintenance fund has $6000 in Capital Improvement.  Need approximately $8-9,000 per year.
  • Building Fund has $9000 and is covering the cost of the ceiling, insulation, and lights in the new Youth Room (cost $4600).  Another $4500 has been estimated for the new Bethel Room.  Need to finish paying for Youth Room before accruing expenses for Bethel Room. 
  • Tree of Life fund will cover the cost of the carpet, windows, and paint for the Youth Room.
  • Need an approval process for unanticipated expenses.
  • Anticipated future needs include:

--New office computer

--Complete remodel  of the Community Center building

--Make Fireside building solely for Preschool use

  • Need a future plan to raise $500,000 over the next 5 years.
